IMPERIAL ANDES requires that each adult traveler over the age of 18 who will be participating in one of our customized journeys sign a Terms & Conditions document. Below is a summary of key parts of our Terms & Conditions. For the complete text, please contact us at contact@imperialandes.com.

Reservations

Booking Your Trip

You can reserve a trip with IMPERIAL ANDES by contacting us at +51 954 185 682, or by email at contact@imperialandes.com.

From the moment you contact us, we will take the time to learn about your interests, destinations, budget, hotel preferences, dining preferences, and travel style. We will then create a customized itinerary tailored specifically to your needs and continue refining it until you are completely satisfied.

Once you approve your itinerary, you will be asked to make a deposit to confirm your reservation.

Accepting an itinerary from IMPERIAL ANDES constitutes acceptance of these Terms & Conditions.

Trip Deposit

If your departure date is more than 90 days away, we require an initial deposit of 30% of the total trip cost or USD $500 per person, whichever is greater, within five days after your itinerary has been approved.

Deposits may be made by personal check, bank transfer, wire transfer, or credit card. Travel arrangements will not be confirmed until the required deposit has been received.

Paying Your Balance

The remaining balance is due 90 days prior to your departure date. Reservations made fewer than 90 days before departure require full payment within five days after itinerary approval.

Final payments may be made by personal check, bank transfer, wire transfer, or credit card.

Postponing Your Trip

We understand that unexpected circumstances may require you to postpone your trip. If written notice is received at least 31 days before departure, we will transfer your paid balance—minus a USD $200 administrative fee and any non-refundable supplier expenses—to a new travel date within one year (365 days) of the original departure date.

Non-refundable expenses may include domestic flights, train tickets, hotel reservations, permits, or other supplier services according to their individual cancellation policies.

Please note that postponing a trip into a new calendar year may result in price increases due to updated supplier rates.

The IMPERIAL ANDES Promise: We are committed to minimizing fees and penalties whenever possible to help our guests successfully reschedule their trip.

Making Changes to Your Trip

After your reservation has been confirmed, changes to travel dates or services may result in additional charges, updated supplier rates, or limited hotel availability. We cannot guarantee the same accommodations after confirmation.

Cancellation & Refunds

Written cancellation requests must be received at least 31 days before departure. Refunds, when applicable, will be issued after deducting the following:

  • USD $100 per person or USD $500 total (whichever is greater) as a cancellation fee.
  • Any non-refundable expenses already incurred by IMPERIAL ANDES, including flights, train tickets, permits, hotels, or other prepaid services.

Trips cancelled within 30 days of departure, including no-shows, are non-refundable. Although we will do our best to recover costs from suppliers, reimbursement cannot be guaranteed.

Once travel has begun, IMPERIAL ANDES cannot provide refunds for unused services, including pre- or post-trip accommodations or missed services resulting from delayed transportation.

Rights to Images & Content Generated During Your Trip

IMPERIAL ANDES reserves the right to use and publish photographs, testimonials, reviews, videos, and other content voluntarily provided by clients before, during, or after their trip, including submissions to contests or promotional campaigns.

The IMPERIAL ANDES Promise: We are committed to reducing cancellation fees and penalties whenever possible.

Travel Documents

It is your responsibility to obtain all required travel documentation, including passports, visas, tourist cards, travel authorizations, and vaccinations required by the countries you plan to visit.

Travelers accompanied by minors should verify all documentation requirements with their airline or transportation provider. Guests under the age of 18 must travel with a parent, legal guardian, or authorized adult carrying the appropriate legal documentation.

We will use the passport information provided in your booking form to arrange hotel reservations, flights, permits, and the Inca Trail (where applicable). If you renew or replace your passport before traveling, please bring both your old passport and your new passport to avoid issues with reservations and permits.
